Email Configuration Help

This document provides help for clients who have their email hosted with us.

Our webmail is secured via an SSL connection and we have a secure certificate installed.

Basic Email Client (outlook, mobile device, etc) Settings:

We're now offering SSL encryption for secure communication with our server just like gmail requires.  However, this doesn't make it safe to send other people sensitive information via email since email is usually transported via insecure methods on other servers.

incoming(POP3)/outgoing(SMTP) server: checkinbox.net

Use your full email address for the username.

username: username@yourdomain.com
password: yourpassword

Outgoing server requires authentication (look for a checkbox)

Incoming Server Port: 995
Requires Secure Connection (SSL)

Outgoing Server Port: 465
Requires Secure Connection (SSL)

The following guides provide a more step-by-step way to setup your email account with the same information above.


Non-visual Guide For Email Configuration:

Outlook 2002 and above:

In "more settings" -> "outgoing server" -> check box for "my server requires authentication".

 To enable secure email, click on "more settings" -> "advanced" -> and update to have the following:

Incoming server (POP3) 995
Check Box: "This server requires an encrypted connection (SSL)"
Outgoing server: 465
Use the following type of encrypted connection: Select "SSL"

To disable secure email, click on "Use Defaults"

 

Outlook Express and Windows Mail:

On "servers" -> check box for "my server requires authentication" or "outgoing server requires authentication"
Other clients like iphone etc: please look for similar options or call for help.

 To enable secure email, click on "advanced" -> and update to have the following:

Outgoing mail (SMTP): 465
Check Box: "This server requires a secure connection (SSL)"
Incoming mail (POP3): 995
Check Box: "This server requires a secure connection (SSL)"

To disable secure email, click on "Use Defaults"

Click on Servers Tab and verify it looks like this, but with your username.

Then click on advanced and make the changes to make it look like this:

After that hit OK and Close this window

 

You're all done!

 


Outlook 2007 (Part of Microsoft Office and it may appear slightly different on other versions)

Click Tools > Email Accounts

Full out the form like this and Click "More Settings"

Click on "Outgoing Server" and Check the box for "My outgoing server (SMTP) Required authentication"

Click on "Advanced" and make it look like this:

Hit OK and Click Next and then Finish

Close This Box

You're All Done!


Domain Administrator Help

After login, you rollover Settings and expand "Domain Settings" on the left sidebar.  Choose "Users" or " Aliases" and then select "New".  When creating an email user, you must remember to set mailbox size to zero (0) which means unlimited.  The 10mb default will become a problem later.  After you type in the information for username & password or the alias information, you click "Save".  It is not necessary to enter any of the other fields.

If someone wants a POP3 account and also to forward a copy to another email address, you click on the "Forwarding" tab when editing the user and type in the "forwarding address" and click "Save".

To edit existing users, you can double click on the name on the left side or check the box and click edit.

If you delete an account, their newest emails are deleted irreversibly, do not make a mistake.

You can't rename existing users, so you'd have to delete and recreate them.  Make sure they already downloaded these emails before deleting the account.

Do not delete any of these special accounts needed by the webmaster: 
postmaster, bruceadmin, abuse, siteadmin

Don't use weak passwords.  Combining numbers and letters with a length of 5 characters or more is recommended.  Don't use obvious terms like "password" or "12345" which will result in easy data theft.

Retrieving passwords: Edit the user and click "show password" at the top.  It is recommended to store a copy of your passwords outside the system.


Additional Notes

To enable using the same account on multiple computers and webmail:

Please check "leave a copy of messages on server" on the advanced tab in most email clients like Outlook so the emails can be viewed from multiple locations.

Additional Enterprise Class Email Options:

You must call us to enable these options:

  • Mobile Push Email Alerts via Microsoft Activesync/Direct Push Technology (works on windows mobile / Iphone and others) $5 activation fee per user per year.
  • Synchronization of calendars/contacts/tasks between webmail and outlook. (no additional fee)
  • Global Contact Lists / File Sharing / Calendar Sharing (no additional fee)

Activesync Push Email Help

Activesync replaces all data on the device with what is on the server. Because of this, you need to backup all your contacts / calendars / task on your mobile phone to your computer. Most devices allow you to sync with Outlook or provide another way to export the information. For example, Itunes allows you to sync with Outlook. I recommend you do this before setting up activesync on your mobile device. Why go through these steps? Because if your phone is lost or crashes or you get a new phone, all your data will be re-downloaded from the server on the new phone. Server-side storage is the future and you can have the peace of mind that your data is not stuck in one place. ActiveSync is a two-way sync, new contacts / events on your phone, will be sent back to the server. If you want to change to a different email provider someday, the information can be moved and your phone will still have all the data with the new email provider.

Once the data is outlook, it will be possible to send it back out to the webmail using a plugin and then your mobile device will download everything using ActiveSync. The webmail is the main source of the data, so if you want everything to be up to date at all times, I recommend using webmail all the time or frequently synchronizing outlook to the server using the plugins below:

After installation, you must restart outlook and it will have a new menu at the top. You go into the settings and configure your email account login information there and you'll be able to synchronize the data to the server whenever you want. The webmail login url it asks for is https://checkinbox.net/
